For many VASP startups, securing access to reliable payment infrastructure is one of the most pressing operational challenges after licensing. EMI accounts have become a practical solution for companies that need to manage operational expenses, process client payments, pay suppliers, and support international transactions.

In many cases, EMIs are more accessible than traditional banks for regulated crypto businesses. In practice, EMI onboarding is often faster than traditional bank onboarding, although timelines vary depending on the provider, jurisdiction, and the complexity of the business. For this reason, EMI rails often serve as the primary fiat infrastructure, particularly in the early stages.

However, there is an important distinction for companies operating in the EU under MiCA: in many EU jurisdictions, MiCA-authorised CASPs are expected to maintain a relationship with an EU credit institution as part of their regulatory and operational framework. An EMI account may complement, but generally does not replace, this requirement. Companies should factor this into their financial infrastructure planning from the outset.

While the EU now uses the term CASP under MiCA, the term VASP remains widely used internationally, including in FATF standards and in jurisdictions such as the UK and Switzerland. Regardless of the licensing label, the EMI onboarding requirements described in this article apply broadly across both models.

For VASP and CASP companies alike, an EMI relationship influences relationships with partners, service providers, and investors who expect stable financial infrastructure to be in place. What EMIs look for during crypto company onboarding

EMIs are not only assessing whether a company is licensed. They are evaluating whether the business presents an acceptable risk profile and can demonstrate ongoing compliance with regulatory requirements.

During onboarding, payment providers typically review several key areas:

  • The company’s business model and planned activities;
  • Licensing and regulatory status;

  • Target markets and customer profiles;
  • AML, KYC, and risk management procedures.
  • Operational substance and management presence.

Many onboarding reviews focus on consistency. The information provided in application forms, corporate documents, compliance policies, and public-facing materials should align with one another. Even minor discrepancies can trigger additional scrutiny and prolong the approval process.

Documents every VASP should prepare

One of the most common reasons for onboarding delays is incomplete or poorly organised documentation. EMIs expect applicants to provide a clear picture of how the business operates, who controls it, and what compliance measures are in place.

Before submitting an application, a VASP should typically prepare:

  • Corporate registration documents;
  • Ownership and shareholder information;
  • Director and management details;
  • Business plan or business model description;
  • Licensing and regulatory documentation;
  • AML and KYC policies;
  • Risk assessment procedures;
  • Proof of source of funds and, where required, source of wealth information;
  • Website and customer-facing legal documentation.

EMIs also expect applicants to provide a clear explanation of expected transaction volumes, payment corridors, client profiles, and the overall flow of funds through the account.

The exact requirements vary between providers, but a well-prepared document package can significantly reduce onboarding time and limit the number of follow-up requests. Rather than gathering information after an application is submitted, businesses are generally better served by preparing a complete onboarding file in advance.

  • Suspicious activity reporting procedures;
  • Travel Rule compliance;
  • Internal compliance governance.

Operational resilience is an increasingly relevant factor as well. Under DORA (Digital Operational Resilience Act), which has applied to EU-regulated financial entities since January 2025, companies are expected to demonstrate cybersecurity safeguards, business continuity plans, and incident reporting protocols. Operational resilience is also becoming an increasingly important consideration during due diligence, particularly following the application of DORA.

The objective is not simply to have policies on paper. EMIs expect businesses to demonstrate that these controls are actively implemented and integrated into daily operations — and to be able to explain how they work in practice.

Building a bank-ready compliance package

Successful EMI onboarding rarely depends on a single document or policy. Providers assess the overall readiness of a business, including its corporate structure, compliance framework, operational procedures, and risk management approach.

A strong onboarding package should present a consistent and transparent picture of the company. Corporate documents, licensing information, compliance policies, website disclosures, and business descriptions should all align with one another and accurately reflect how the business operates.

Founders should also be prepared to explain key aspects of their operations, including customer acquisition methods, target markets, transaction flows, and compliance controls. The easier it is for an EMI to understand the business, the more efficiently the onboarding process is likely to proceed.
